    Why is our conference special?

    We are one of the few organizations working to promote the general welfare, to increase the influence of minorities in the Criminal Justice System, and to coordinate efforts with all legitimate organizations whose purpose would include the promotion of justice within the general State, local, public & private sectors of the criminal justice system. This goal is accomplished through offering opportunities for education, networking, mentoring and training.

    IMPORTANT INFORMATION

    Additional meal tickets must be purchased for any additional individuals staffing your booth. The first meal (breakfast and lunch on 10/30 and/or 10/31; breakfast on 11/1) is included with the booth rental or recognition options.


    A Vendor/Sponsor  Agreement is required before setting up, day of event. This Agreement can be downloaded by visiting the downloads section of https://nysmicj.org/2026symposium.


    All company inserts for must be received by September 9, 2026. Inserts for conference bags are to be mailed to: NYSMICJ, P.O. Box 1244, Beacon, NY 12508.


    Banner display must be delivered to/received at the Poughkeepsie Holiday Inn, 2170 South Road, Poughkeepsie, NY 12601 by September 9, 2026 and arrangements for pickup/return must be included.


    All company camera ready logos and/or ads for inclusion in programs must be received by September 1, 2026.


    Website link to the company site will be available for 4 months after the conference.


    Accommodations: The Vendor/Sponsor is responsible for any and all room reservations made with the hotel.


    Damage to property: The Vendor/Sponsor will be responsible for any damage caused to the building, floors, walls, columns, booth equipment, or to the property of other exhibitors. The Vendor/Sponsor will not apply paint, lacquer, adhesive or any other coating to any part of the building furnishings or booth equipment. No nails, bracing wires, tacks, staples or tape used in constructing displays may be attached to walls, floors or ceiling. 


    Eligibilities: NYSMICJ reserves the right to determine the eligibility of any company or product for inclusion in the scheduled activities and reserves the right to reject, affect or prohibit in whole or in part any exhibitor or his/her representative(s) with or without cause.

    VENDOR/SPONSOR AGREEMENT


    Take down and dismantling at the close of the event will begin shortly after 12:30 PM on Friday and shall end no later than 2:30 PM. The Vendor/Sponsor will be responsible for removal of all its equipment and supplies and will leave the exhibit area in a reasonably clean and neat condition. All storage and handling charges for failure to remove the exhibit materials from the exhibit area at the conclusion of the take down and move out period hereinabove referenced shall be the responsibility of the Vendor/Sponsor.


    Payment is due in full prior to beginning of the event. No refunds will be made unless your booth can be resold to another Vendor/Sponsor. Should extenuating circumstances arise and with approval from NYSMICJ, refunds may be issued.


    The Vendor/Sponsor will be responsible for purchasing an extension cord (Vendor/Sponsor Registration option) for use of the hotel’s electrical services. NYSMICJ bears no obligation or responsibility for the charges or fees imposed for the use of the hotel’s electrical services by the Vendor if they have not purchased an extension cord with their Vendor/Sponsor registration. Complimentary WIFI will be provided by the hotel.


    The exhibition by the Vendor/Sponsor during any part of the scheduled event fulfills the obligation of NYSMICJ to the Vendor/Sponsor, and no refund or partial refund will be made to the Vendor/Sponsor if the Vendor/Sponsor opts to not operate for the entirety of their conference registration period.


    NYSMICJ reserves the right to limit the opening of the exhibit area during any time it reasonably believes that the exhibits will unduly interfere with scheduled events. In such event, NYSMICJ will advise the Vendor/Sponsor of its intention to temporarily suspend the operations of the exhibit area and the Vendor/Sponsor will immediately suspend operations until notified by NYSMICJ that such interference has been abated.


    The exhibition area will be in a location mutually agreed upon by the hotel and NYSMICJ. The Vendor/Sponsors are restricted to the use of that area for exhibition of its goods, products and services on a table(s) to be provided by the hotel.
